Automation that does not fail silently.
The systems you already have talk to each other, and repetitive work happens on its own, from the first lead to the invoice. We build automation the way we build software, with a spec, error handling and monitoring, and all of it stays yours.
It does not fail on day one. It fails silently.
Automation built in a hurry works nicely in the demo. A few months later a connection expires, someone renames a field, or an external system is down for an hour. The automation stops running, and nobody knows until a customer calls to ask where the invoice is.
- Every failure reaches a person, with a reference number and exactly what stopped.
- What fails midway resumes from the same point, without sending twice or charging twice.
- Every workflow is documented, so even someone who did not build it understands what it does.
Any work that repeats itself and moves between systems.
If someone on your team copies data from screen to screen, sends the same email ten times a day, or waits for an approval that got lost in an inbox, that is the place to start.
From lead to customer
An inquiry from the website, Facebook or WhatsApp enters the CRM, goes to the right rep and gets a first reply within minutes. No lead is forgotten in an inbox.
From order to invoice
A closed deal opens an order, issues an invoice in the accounting system, sends it to the customer and updates collections. No double entry.
Documents, contracts and signatures
A contract or form is generated from the data, sent for e-signature, and filed in the right place once signed. We build DocsRobot, a document generator and e-signature system, so we know this area from the inside.
Onboarding a customer or employee
Forms, permissions, system accounts, welcome messages and tasks for each department. One checklist that runs itself instead of ten emails.
Reports and alerts
Data from several systems comes together in a report that arrives in the morning, and an alert goes out only when something is off. Instead of hunting for the numbers, they come to you.
AI inside the workflow
Sorting inquiries by topic, extracting data from invoices and PDF files, drafting a reply to a customer. Wherever a mistake costs money, a person approves before the workflow continues.
The difference between a connection that works and one you can rely on.
We are a software house, and our owners have run software houses since 1989. To us an automation is a small system, and it gets the same treatment.
A spec before any connection
We map the workflow as it really happens, exceptions included: what happens when a field is missing, when the customer already exists, when a payment fails. You approve before we build.
Monitoring and alerts
Every run is logged, and every failure reaches the person responsible for it. You know something stopped before the customer does.
Full ownership
The automations run in your accounts or on your servers, fully documented. You do not depend on us to keep going, make changes or switch vendors.
Code, where the tool runs out
Automation tools are excellent up to a point. When you need a complex calculation, a connection to a legacy system or high volume, we write that part as software, without replacing everything else.
The workflow picks the tool, not the other way round.
We do not resell any one platform, so the recommendation depends on what suits you: the monthly cost, where the data lives, and who will maintain it later.
n8n
When you want full control: it can run on your own server, the data stays in-house, and there is no charge per run.
Make and Zapier
When you want to start fast with lots of ready-made connectors, and volumes are moderate. Easy for your team to follow and adjust too.
Code and APIs
When the workflow is critical, complex or high-volume, or when the system you need to connect is not in any ready-made tool.
Start with one workflow. Know the price before we build.
Call
An hour on how work flows in your business today. Together we mark the workflows that take the most time or cause the most mistakes, and choose where to start.
Short spec
A precise map of the workflow: the systems, the data, the exceptions and who approves what. We recommend the right tool and explain why.
At the end: a proposal with a fixed price and timeline. The spec is yours, even if you do not continue with us.
Build, test and handover
We build, test against real cases including the exceptions, and switch on monitoring. You get documentation and a short training for the people who use the workflow.
Want us to keep monitoring and maintaining it? We can. Prefer not to? Everything is documented and stays with you.
The same rules we apply to software.
Every automation is checked against our development rule book, hundreds of rules gathered over decades. Three examples that matter most in automated workflows:
When an external system does not respond, the workflow is not lost.
What you get: when the accounting system, the CRM or the email provider is briefly unavailable, the step waits and tries again. If that does not work, someone gets an alert with a reference number and knows exactly what stopped.
The rule: every call to an external service is wrapped in a retry with exponential backoff and jitter, only for errors where a retry can succeed, and in a circuit breaker that opens after repeated failures. Every run gets a correlationId that is attached to every log line and every alert.
A rerun never sends twice.
What you get: if a workflow stops midway and is restarted, the customer does not get two invoices and no record is created twice.
The rule: every operation with side effects takes an Idempotency-Key derived from the original event. Before acting, we check whether the key was already handled, and if so return the stored result instead of acting again.
How do you test a monthly workflow without waiting a month?
What you get: monthly charges, renewal reminders and quarterly reports fully tested before they go live, not after the first month has passed.
The rule: recurring workflows run on a simulation clock we control, not on the server clock. In testing we move the clock forward and watch what happens.
Before we start
Do we need to replace systems to automate?
How much does it cost?
Why not just hire a freelancer with Zapier?
What happens when one of the systems changes?
Can AI be part of the workflow?
Will the automations be ours?
One hour. No commitment.
At the end you will know what we understood, which questions are open, and what the spec will cost. If we think it is not worth building, we will say that too.
